Refund & Cancellation Policy

This Refund & Cancellation Policy explains how billing, cancellations and refunds work for AeroVigil, the aviation security intelligence and risk-assessment platform operated by Aersynx OÜ, a company registered in Estonia (registry code [Estonian registry code]) at Sepapaja tn 6, 15551 Tallinn, Estonia ("AeroVigil", "we", "us", "our").
This policy applies to our self-serve Starter and Professional subscriptions, which are purchased online and billed through Paddle. The Strategic plan and the operational pilot are arranged directly with the AeroVigil team and are governed by the separate written agreement that applies to them, not by this policy.
This policy should be read together with our Terms of Service and Privacy Policy. Nothing in this policy limits any non-waivable rights you have under the mandatory consumer or data-protection laws of your country of residence.
1. Merchant of Record
Paddle as reseller — Paddle (Paddle.com Market Ltd, a company registered in the United Kingdom) acts as our Merchant of Record and authorised reseller for all self-serve paid plans. When you buy a Starter or Professional subscription, your purchase contract for that transaction is with Paddle as reseller, and the AeroVigil platform is provided to you under our Terms of Service.
What Paddle handles — Paddle manages checkout, payment processing, invoicing, billing and the collection and remittance of any applicable sales tax, VAT or GST. AeroVigil never sees or stores your full card number.
Refund processing — Refunds for self-serve plans are processed by Paddle on our behalf, in line with this policy and with Paddle's Buyer Terms. Paddle's Buyer Terms also apply to your transaction; where this policy is more generous to you than those terms allow for a discretionary refund, we will honour this policy to the extent Paddle can give effect to it.
2. Subscriptions and auto-renewal
Billing cycles — Starter and Professional are recurring subscriptions. You choose a billing cycle at checkout, normally monthly or annual. You are charged at the start of each cycle for the period that follows.
Automatic renewal — Subscriptions renew automatically at the end of each paid period using your saved payment method, at the price and on the cycle in effect at the time of renewal, until you cancel.
Renewal price — If we change subscription pricing, we will give you reasonable advance notice before the change applies to your renewal, so that you can cancel before being charged at the new price if you do not wish to continue.
Cancel any time — You can cancel at any time. Cancellation takes effect at the end of your current paid period, and no further renewal charges are made after you cancel.
3. Cancellation
How to cancel — You can cancel your subscription yourself from the in-product billing area at any time. If you cannot access the billing area, contact info@aerovigil.com and we will help you cancel.
Access until period end — When you cancel, your subscription does not stop immediately. You keep full access to the plan you paid for until the end of your current paid period, and your subscription then ends and is not renewed.
No further charges — Once you have cancelled, you will not be charged again unless you choose to start a new subscription. Cancellation by itself does not trigger a refund; refunds are governed by section 4.
4. Refunds — our policy
14-day money-back guarantee for first-time subscribers — If you are a first-time AeroVigil subscriber, you may request a full refund of your initial subscription payment within 14 days of that initial purchase, for any reason. This guarantee applies once per customer and covers your first paid subscription only; it does not apply to renewals or to a subscription you have purchased before.
Renewals are generally non-refundable — Charges for renewal periods are generally non-refundable, because cancelling before a renewal date prevents the renewal charge in the first place. We expect you to cancel before renewal if you do not wish to continue.
Discretionary refunds — Outside the cases above, we may grant a refund at our discretion. We will look favourably on requests that involve a genuine billing error, a duplicate charge, or an extended period during which the service was unavailable through our fault.
No partial refunds on monthly plans — We do not give partial refunds for unused time on a monthly plan. If you cancel, you keep access until the end of the month you have paid for.
Annual plans — For annual plans, we may grant a pro-rata refund for the unused, unstarted portion of the term at our discretion where you request it within the cooling-off window described in section 5.
How refunds are paid — Approved refunds are returned by Paddle to your original payment method. We do not provide cash refunds or alternative payment methods.
5. Statutory consumer rights
Consumer right of withdrawal — If you buy as a consumer in the EU or the United Kingdom, you generally have a statutory right to withdraw from a distance contract within 14 days, separate from our own money-back guarantee.
Digital services started immediately — AeroVigil is a digital service. If you ask us to begin providing the service immediately and acknowledge this at checkout, your statutory withdrawal right may be lost once performance has begun, to the extent the law allows. This does not affect our voluntary 14-day money-back guarantee in section 4.
Business customers — Statutory consumer withdrawal rights are intended for consumers. Most AeroVigil customers are businesses, such as flight operators, airlines, dispatch and security teams, and these rights may not apply to a business purchase. Our policy in section 4 still applies to you.
Non-waivable rights preserved — Nothing in this policy limits or excludes any consumer or data-protection right that cannot be waived under the mandatory law of your country of residence. Where such a right is more favourable to you than this policy, that right prevails.
6. How to request a refund
Where to ask — You can request a refund by emailing info@aerovigil.com, or by contacting Paddle directly using the receipt or invoice Paddle sent you at checkout. Please include the following in your request.
- the email address on your AeroVigil account
- the Paddle order or invoice number, or a copy of your receipt
- the plan and billing cycle involved (Starter or Professional, monthly or annual)
- the reason for your request, including any error or service issue
Processing time — Once a refund is approved, Paddle typically returns the funds to your original payment method within about 5 to 10 business days. The exact timing depends on your bank or card provider and is outside our control.
7. Taxes and VAT
Tax handling — Any applicable sales tax, VAT or GST on your purchase is calculated, collected and remitted by Paddle as Merchant of Record.
Refunds returned net — Where a refund includes tax, Paddle returns the amount net in accordance with its own tax handling. The total refunded to you may therefore differ from the headline subscription price depending on how tax was applied at purchase.
8. Chargebacks
Contact us first — If you believe a charge is wrong, please contact info@aerovigil.com before opening a chargeback or payment dispute with your bank or card provider. We can usually resolve genuine billing errors and duplicate charges faster and more directly than a chargeback.
Effect of a chargeback — A chargeback may lead Paddle or us to suspend or close the affected account while the dispute is investigated. We reserve the right to contest chargebacks that we believe are unwarranted.
9. Changes to this policy
Updates — We may update this policy from time to time, for example to reflect changes in our plans, our payment arrangements or applicable law. The current version, with its "Last updated" date, always applies to your transactions.
Material changes — Where a change materially affects your rights, we will take reasonable steps to bring it to your attention. Your continued use of AeroVigil after a change takes effect means you accept the updated policy.
